You can ask a company which personal data it holds about you, and for a copy (Art. 15 GDPR). The request needs no form, and e-mail is fine. A letter helps when e-mail does not work: the company names no privacy contact, does not answer, or you need a dated record for a complaint.
Why a letter, not e-mail
- No channel, no answer. If the company names no privacy address and no form, or your e-mail stays unanswered, a letter reaches the postal address in its legal notice or privacy policy.
- The deadline runs from receipt. The company must answer within one month of receiving your request. For complex or many requests, it may extend this by two more months; it must tell you so within the first month (Art. 12(3) GDPR). A recorded date helps if you complain to a data protection authority.
- Consumer advisers recommend the post. The sample letter of a German consumer centre advises fax with a transmission report "or by post (Einwurfeinschreiben!)" (Verbraucherzentrale, sample letter, in German).
Example to copy
Write to [company] a request for access to and a copy of my personal data under Art. 15 GDPR. My customer number is [number]. My e-mail of [date] got no answer. Send it as a registered letter.
Your AI asks for the company's address (usually in the legal notice or the privacy policy) and for details that let the company find you. For a company in Germany, it can write the letter in German and show you an English version first.
What the request should contain
- What you ask for: access and a copy (Art. 15), erasure (Art. 17) or an objection to direct marketing (Art. 21).
- Who you are: your name, your address and a customer number or e-mail address under which the company knows you.
- The deadline: one month from receipt, as a concrete date.
We reach companies in Belgium and Spain with a registered letter too, and companies in Austria and most other European countries with a standard letter (only the handover is recorded).
FAQ
Is e-mail not enough?
Legally, it is: the request needs no form. A registered letter helps when the company has no online channel, does not answer, or you want a recorded date.
Must I enclose a copy of my ID?
Not from the start. If the company has reasonable doubts about who you are, it may ask for more information (Art. 12(6) GDPR).
Does the company charge for the answer?
Normally not. It may charge a reasonable fee for further copies, or for requests that are manifestly unfounded or excessive (Art. 12(5), Art. 15(3)).
Does the request need my signature?
No. Our letter carries your name in print.
What if the company does not answer?
You can complain to a data protection authority, for example in the country where you live (Art. 77 GDPR). The tracking shows when the post recorded the letter in the mailbox.
